AI Voice Receptionist & Appointment Booking

An n8n tool set behind a Vapi AI voice agent that answers calls, reads real calendar availability, and books appointments straight into Google Calendar.

Built in n8n

A process worth improving.

Calls and booking requests arrive when nobody can answer—callers wait, appointments get penciled in wrong, and every booking has to be typed into the calendar by hand.

A structured automation architecture.

A voice agent is backed by two n8n tools: GetSlots checks real Google Calendar availability and returns cleanly formatted open times, while BookSlots validates the request, converts the time to the caller's timezone, creates the calendar event, confirms the booking to the caller, and logs it to Airtable—with friendly spoken error responses whenever a step fails.

From trigger to reliable output.

Each stage has a defined responsibility, making the system easier to test, maintain, and improve.

Built as a system, not a shortcut.

The workflow is designed around predictable inputs, clear decisions, reviewable AI output, and recoverable errors.

  1. 01Trigger — receives and validates the initial input
  2. 02Data processing — structures information for downstream steps
  3. 03AI step — generates or classifies within defined constraints
  4. 04Conditions — route each result to the correct path
  5. 05API calls — exchange data with connected applications
  6. 06Output — delivers or stores a usable result
  7. 07Error handling — records failures and supports recovery

The system is designed to answer calls at any hour, quote real availability, book appointments directly into the calendar, and keep a record of every booking without manual entry.

A voice agent is only as good as the tools behind it—clean slot formatting and clear error responses are what keep spoken conversations natural.
